Overall Purpose of Job


  • This role reports directly into the Finance Manager in PMA and requires solid all round property accounting knowledge.
  • You will be required to have a comprehensive understanding of the property life cycle from mobilisation through to off boarding, including interpretation of completion statements, accounting for property sales and transfers to new managing agents.
  • You will be required to deputise for the Finance Manager during periods of absence. This will require you to oversee training, approval of finance reports to clients and staff management.
  • Extensive experience of all aspects of service charge accounting is necessary. You will take immediate responsibility for a portfolio of clients and have full ownership for the database maintenance of all property/tenant details,
  • Experience in accounting for separate client types is also required including, investor, off shore, NRL, industrial, retail, residential, estate and management companies.
  • You should also have a strong understanding of RICS Members Accounts Regulations for all aspects of handling client monies and be commercially minded.


Main Duties, Responsibilities & Accountabilities


  • To ensure delivery of client financial reporting in accordance with agreed SLA.
  • To discuss and present financial information to clients and to propose and develop alternative reporting options if required.
  • To generate and reconcile VAT reports in accordance with agreed SLA and ensure settlement of VAT.
  • To ensure that all Rental/Insurance receipts are transferred to clients in accordance with required SLA and/or DOC agreements.
  • To ensure that delivery is within the agreed scope of works as documented within the management agreement and that any deviation to this is escalated to the Finance Manager.
  • To attend and participate in regular meetings with clients both on/off site.
  • To deputise for the Finance Manager during periods of absence.
  • To attend/run weekly team meetings.
  • To manage your own portfolio of clients and support and oversee the delivery to all clients within the team.
  • To manage and close all service charge year ends in accordance with the 4 month RICS guidelines.
  • To ensure handovers are completed within the required 4 month guideline, unless otherwise specified.
  • To ensure that all lease accounting information is accurate and maintained.
  • To ensure that all income is demanded in advance of due date.
  • To manage service charge, non recoverable and direct recoverable cash flow and to support other team members with this task.
  • To deliver training when required and to ensure that changes to the RICS code in terms of service charge and the handling of client monies is communicated to the team.
  • Responsibility for budget monitoring of own portfolio and that of the team and report exceptions.
  • Carry out quarterly reviews of the Service Charge accounts with surveyor/facilities manager on your own and team member’s accounts.
  • Responsibility of accurate recovery of ad-hoc/one-off lease recharges
  • Liaise with utilities team on all issues they may have with the portfolio.
  • Ensure timely recovery of utility charges and associated reconciliation of the utility recharge account.
  • To ensure that all work within the team is carried out in accordance with the departmental procedures and that those procedures are maintained and reviewed annually by the team.
  • Liaise with credit control/supervisor to enable recovery of all charges.
  • Liaise with accounts payable on all issues they may have with the portfolio.
  • Review of all bank account reconciliations for the portfolio and ensuring that the reconciling items are dealt with correctly on a monthly basis.
  • Liaise with cashiers on all issues they may have with the portfolio.
  • Assist PMA Helpdesk with all queries they need resolving in a timely manner.
  • Responsibility for weekly/monthly updates to departmental control and compliance reports for the portfolio.
  • Have a proactive approach to risk management.

Desired Knowledge, Skills and Experience


  • Accounting skill / ability within a property accounting environment.
  • Personality to mix and work with a busy team in an accounting department of 100 plus.
  • Ability to communicate and deliver a quality service and to quickly pick up the QA procedures and work under the pressure of high volume and tight deadlines.
