Overall Purpose of Job


A key member of the Facilities team, assisting the Facilities Manager with the organisation and management of the front of house services as well as the day to day running of building facilities, reception, administrative support and Supervision of building suppliers on behalf of our Client Disney, at their 12 Chiswick Park Building.  Providing a consistently excellent reception service for the organisation, including welcoming and directing visitors and acting as a central information point. To carry out a range of administration tasks to support the organisation and the Client.


Main Duties, Responsibilities & Accountabilities


  • To welcome all visitors to the Building, issue and collect visitor passes, and direct people as appropriate.
  • Ensure that an exceptional level of service is maintained at all times to both reception areas, including contacting the meeting host.
  • Build and maintain a current, working knowledge of all policies, procedures, systems and developments, as well as general information, in order to be able to provide staff and visitors with information as required, including details of procedures for making complaints
  • In the event of the fire alarm sounding act as Chief Fire Warden, and in the absence of the Facilities Manager to act as their Deputy.
  • To work with Security to ensure Keys are managed and correct the building key management policy is adhered too.
  • To work with Security to ensure the control of the building access and egress.
  • To work with Security to ensure control on the use of the building and Car Park & that Car Park management policy is upheld, monitored and managed.
  • Assist where required in the production of performance and operating results to clients.
  • Work proactively to ensure that the requisite standards for all contracts procured in the management and delivery of reception related products and services are delivered to an appropriate standard that meets client’s expectation.
  • Undertake any other duties, appropriate for the post, as directed by the Facilities Manager.
  • To assist and manage the building services in the absence of the Facilities Manager
  • To be the first port of call for all facilities related issues and to liaise with the relevant contractors/suppliers to ensure that any building works/services are carried out accordingly.
  • To ensure all Facilities reported issues are logged and commented on.
  • To ensure tenants are engaged and communicated on status and progress on issues raised.
  • To manage all suppliers and contractors in the absence of the facilities manager and ensure that all suppliers/contractor comply with GVA H&S policy.


Desired Knowledge, Skills and Experience


  • Experience of providing a reception service & quality customer service is essential. The post holder should also have good communication skills, administration and IT skills (including MS Office), an enthusiasm for working with people, and a flexible approach to work
  • Experience in assisting Facilities Management in an administrative and coordinator capacity
  • 5 GCSE’s or equivalent
  • Strong problem-solving and work prioritisation skills, with excellent attention to detail
  • An understanding of the Facilities Management discipline and a basic understanding of building processes.
  • The successful candidate will be expected to develop a sound understanding of the operation of the FM team and the effect of legislation on its performance / capability.
  • The successful candidate will be expected to develop an understanding of statutory obligations within the Client’s business e.g. financial and contractual controls, data protection, money laundering and Health, Safety and Environmental legislation.
