Overall Purpose of Job

 

  • To manage the FM operation whether delivered through the GVA Acuity FM team or external supply chain, in an efficient and cost effective manner, across a national portfolio of properties for clients in the retail leisure and service industry.
  • To provide leadership support and direction to the Facilities Managers and Administration Assistant
  • To ensure compliance in respect of Health and Safety and Statutory Legislation
  • To drive continuous improvement in service levels
  • To participate in all relevant operational initiatives

 

Measure of Success:

 

  • Level of client and customer satisfaction
  • Level of financial contribution from GVA FM operations at sites managed
  • GVA FM business objectives achieved
  • Target zero Health and Safety accidents and 100% statutory compliance

 

Main Duties, Responsibilities & Accountabilities

 

  • To ensure compliance with Health and Safety objectives
  • To promote best practice throughout the team
  • To identify areas for potential organic growth of the business and to raise with the Associate / Senior Director.
  • To drive efficiency and improvement of the GVA FM service offering across the various Client portfolios.
  • To assist in the implementation and management of financial procedures and MI that monitor expenditure, to agreed authority levels, for the products and services under the control of GVA Acuity.
  • To ensure that PO and invoices are approved and paid in line with QA requirements
  • Ensure that third party contracts are reviewed, monitored and tendered etc., in order to maintain an effective operation and meet the requirements of the Client. Ensure that service providers, within their remit, are delivering to agreed ethics codes and to the standards and levels required.
  • To measure and manage suppliers performance against agreed SLAs and KPIs
  • To be the main point of contact with the Client FM representative liaising with them on a regular basis on supplier performance and to gain authorisation on reactive expenditure over certain levels.
  • To lead, motivate and develop all employees within the team, ensuring a flexible and efficient approach to the management, delivery and administration of facilities services is maintained. The incumbent must ensure that the Team are fully conversant with their statutory responsibilities.
  • To act as the focal point, where applicable, in the event of any emergency or disaster, ensuring appropriate communication links between all relevant parties.
  • Ensure the Clients internal standards and corporate responsibilities are met with regard to safety, health and environmental legislation and agreed operating practices.
  • To assist the Clients internal management team as directed in any project related initiatives e.g. building improvements / adaptations.
  • To assist in the development and on-going reporting of management information, on a regular basis, to the Client. This will include monthly financial and operational reporting, KPI, SLA and Balanced Scorecard reporting that demonstrates the effectiveness of the GVA Acuity FM Team.
  • To ensure that the helpdesk has accurate and comprehensive data and to liaise with the Service desk Manager on a regular basis to ensure the delivery to the FM team and the Client in terms of service desk support, is in keeping with requirements.
  • To perform the duties of a Facilities Manager where directly allocated to properties or in the event that the team is depleted due to unforeseen circumstances.
  • To carry out other duties as requested.

 

Desired Knowledge, Skills and Experience

 

  • Degree level education or minimum 5 years industry experience
  • IOSH / NEBOSH Qualification desirable
  • Driving Licence essential
  • Experience operating provider side and in the retail and leisure industry

 

Technical

  • A sound understanding of all Facilities Management disciplines
  • A broad knowledge and competency in building engineering systems and maintenance, building fabric maintenance, and associated support services.

 

Financial

  • Experience and knowledge in the development of operating budgets and financial control systems.
  • A sound understanding of financial / variance reporting, authorisation procedures and supplier payment processes

 

Office / IT Systems

  • Competent user of Microsoft Office software, including, Word, Excel, PowerPoint and Outlook.
  • Competent in the use of internet / intranet tools, including an understanding of the interfaces between Client systems and Acuity.

 

Leadership / Man Management

  • A sound understanding of management practices. Experience in the management and development of third party providers, including the provision of incentives and rewards.
