Overall Purpose of Job

GVA’s Property Management acts for investors and occupiers in the office, industrial and retail markets, managing a cross-section of commercial property types. We combine experience and knowledge with innovation and creativity, handling national and international portfolios for a wide variety of clients. The mobilization team are solely responsible for the take on and set up of new Property Management instructions and the handover of existing ones. We are looking for an individual who play a significant role will role in the success of this team by coordinating the activities involved in Mobilization by interacting with clients and other members in Property Management Consultancy, Property Management Accounts and Facilities Management. All of this will contribute to our excellent record of looking after assets/portfolios for individual investors, property companies and institutions.  Our aim is to achieve the highest quality service in all aspects of property management ranging through day to day activities at the properties to financial control to developing asset enhancing initiatives with our clients. We have a busy, friendly property management team in which all members are encouraged to participate to take our business forward

Main Duties, Responsibilities & Accountabilities

To ensure smooth transition of properties/portfolio’s into/out of the business as usual and reduce risk to the business to zero Coordination of client and property set up activities Client liaison and collation of key data required for the efficient and effective property management service Liaising with other members of Property Management and Accounting and Facilities Management to ensure agenda actions are delivered and tight timescales met Collation of documentation, leases, licenses, deeds, reports, surveys from previous agents/solicitors supported by the mobilization administrator and surveyor Identification of on-going matters and lease events within the mobilization period and agree strategy in conjunction with client and BAU surveyor Collate existing service charge budgets and apportionments and any other documentation required to support the implementation of the service charge in conjunction with the Mobilization Surveyor, BAU surveyor and Property Management Accounts. Carry out take on/handover meetings with existing existing/new managing agent Liaise with BEFM with regards to confirmation of receipt of documentation and also with the utilities teams in respect of supplies. Maintenance of the risk register

Desired Knowledge, Skills & Experience

Detailed knowledge of property management
Experience in mobilization projects
Able to work independently and use own initiative Understanding of QA systems Excellent communication skills
Strong organisational skills
Ability to work effectively under pressure and prioritise workloads
Comfortable requesting actions of other team members in order to meet deadlines Proven ability to work as part of a team
Highly Professional Strong Microsoft office skills to include outlook, word & excel
